Mandoob Document System allows the mandoob to store expiration details and scan copies of all the documents/certificates systematically. It makes mandoob to retrieve any document in few clicks only.

Procedures And Processes

Mandoob Document System comes with many different predefined procedures and processes for different documents/certificates processing in the concern department or ministry. Mandoobs can also create their own procedure or process.

Alert & Processing System

Based on the Expiration Dates of different documents/certificates Mandoob Document System generates Alerts in three categories, which is further divided into four Alert lists. Each alert list is integrated with their respective procedures & processes for documents.

Mandoob Document System: Detailed description about the modules and features of the system

Mandoob Document System stores comprehensive details for each documents and
allow to store scan copy of each documents.
It is further categories into three different types

 

Company Document

The mandoob document System of different module each module have different type of documents.
The company module have documents related to the company, system allow the mandoob to create different companies in the system and allow him to store each companies details and scan copy of documents.

Employee Document

The Employee module have documents related to the employee, system allow the mandoob to create entries for all employees in each company in the system. It contains detailed information of the employee and allows mandoob to store documents related to each employee with the expiration details of the documents.

 

Vehicle Document

The Vehicle module have documents related to the vehicle and equipment in the company, system allow the mandoob to create entries for all vehicle and equipment in each company in the system and allow him to store each vehicle details and scan copy of documents.

 

These documents are stored into three different formats

Procedures and processes are the main strengths of the Mandoob Document System. It comes with many predefined procedures yet it allows the user to add user-defined procedures or edit predefined procedures based on the need of the company.
Mandoob Document System is getting continuous update by adding more and more predefined procedure. It will enrich the system with most of the document processing procedure exist under different ministries and department under Kuwait government.

Mandoob Document System contains two types of procedures

Predefined Procedure

Mandoob Document System have been embedded with different procedures required by the mandoob to prepare and process the document expiration renewal. These procedures are required for the flow of a particular document processing.
In Mandoob Document System we have added this procedure as a predefined procedure.

The mandoob document System will request the mandoob to verify current information of the employees, allow editing of necessary details where required and has a print option to print these details along with the necessary forms.

User Defined Procedures

Mandoob Document System allows mandoob to create its own processing structure for any document.
Mandoob can go to the settings module and can create a new procedure and assign to any document.
Whenever the expiration of that particular document will come, then on clicking print will print all the documents, which were defined by the mandoob.

Alerts

Mandoob Document System provides many different types of alerts for different activities.

There are three categories for the alerts

Company Documents/Certifications Alerts
Employee Documents/Certifications Alerts
Vehicle Documents/Certifications Alerts

These alerts are further sub categorized in to following lists

Urgent List
Moderate Urgent List
Normal List
Moderate List


Urgent List (Red List)
This list shows the alerts for the documents, which is either expired or will be expired within 7 Days.

Moderate Urgent List (Orange List)
This list shows the alerts for the documents, which will be expired within 15 Days.

Normal List (Yellow List)
This list shows the alerts for the documents, which will be expired within 30 Days.

Moderate List (Green List)
This list shows the alerts for the documents, which will be expired within 60 Days


Processing

As each document is attached to a specific procedure, when the Mandoob clicks on Print option it will print all the documents required for processing of a particular documentation along with a step-by-step guide for completing the process in the respective office in the ministry.

This feature makes the Mandoob Document System a complete mandoob system, which allows the mandoob of the company to process the documents on time, efficiently and correctly.

Mandoob Document System has incorporated many report formats, which provides comprehensive information about the current situation in the company on different levels and segments, and it helps the Mandoob to effectively evaluate necessary actions required to process the documents in a timely manner.

Mandoob Document System is designed to support multiple sub companies under one parent company. It can be customized from a single company to start multiple companies. In multiple company versions, all the modules of the document system are divided on the basis of companies.
It allows the mandoob to enter the details of employees, vehicles and company documents information in their respective companies.

Multi Admin Support: In Multi Company version there is an additional feature of multiple admin.
There are three main type of admin categorization
Super Admin
Company Admin
Guest User

Super Admin: The Super Admin has the rights to view, edit and Update details of all the Companies. Super Admin is allowed to access any information about any company, any employee, any vehicle, and can process any document.

Company Admin: The Company Admin is assigned to individual sub companies. Company Admin is only allowed to process, view, edit and update information in the assigned company. Company admin is not allowed to view edit or update any information about other companies.

Guest User: Guest user is allowed to view assigned reports only, user does not have rights to update, process or edit any information in any company.

Printing functionality allows mandoob to print the procedure document set directly from alerts. Predefined procedure makes printing of document set very easy and one time setting will allow printing for the entire similar document set.
